Job Title: Office Manager/HR Representative

Description:

This newly created position will become a key member of the general and administrative team, will assist in the completion of the Company’s transition to its new location and will be responsible for vital daily human resource tasks. This hands-on individual will report to the Controller/Senior Director, Finance & Administration and will be the go-to individual for virtually all facilities and office related services, will manage the Company’s receptionist and will be the primary employee point of contact for most human resource related matters. The position will be supported by a senior HR consultant.

JOB RESPONSIBILITIES:

Office Management

  • Manage the Company’s relationship with the office complex’s property manager
  • Oversee facility space planning and renovations
  • In conjunction with employee managers and I/T, coordinate all personnel moves and new hire office placements
  • Coordinate the ordering of office furniture and equipment, including vendor management
  • Supervise the Company’s receptionist
  • Oversee the procurement of office and break-room supplies, including budgetary responsibility
  • Perform other office management/facility related responsibilities as required

Human Resources

  • Manage HR legal and compliance issues
  • Develop and maintain all personnel and related files
  • Develop as necessary, maintain, disseminate and enforce Company HR policy and procedures
  • Deal with employee relations issues as they arise
  • Manage outside salary and benefit benchmark information and coordinate annual performance review process
  • Coordinate and administer the Company’s benefit programs including new hire and open enrollment along with audit and processing of regular benefit billings
  • Assist hiring managers in coordination of outside recruiting firm efforts and other recruiting / hiring activities
  • Perform other HR related duties as required

Job Requirements:

  • Bachelors degree in Business Administration, Human Resources or related area
  • 5+ years of office management and/or HR generalist experience. Public company experience preferred
  • Excellent interpersonal skills
  • Ability to communicate verbally and in writing in an effective, concise manner
  • Thorough knowledge of HR regulations and compliance
  • Experience with recruiting and hiring as well as working with temporary and contract agencies for supplementary staff as needed
  • Experience with vendor and contract management including budgetary responsibilities
  • Strong working knowledge of other Microsoft Office products (Word, Outlook, Excel, Project)
  • Working knowledge of HRIS a plus
  • Attention to detail and accuracy
  • Successful track record in a fast paced, multi-tasking environment
